UPDATE ON PICKUP of OUTDATED STUDENT RECORD for SHREDDING/DESTRUCTION:
We have now prepared for the annual pickup of outdated Cumulative Guidance Records (Cum Folders) from your school by the SFUSD warehouse staff. These outdated folders will be shredded; they will not be stored at the Pupil Services. PLEASE DO NOT SEND THEM TO PUPIL SERVICES.
WHEN: Google Form to the warehouse must be submitted by February 29, 2024. The pickup period will be Mar 4, 2024 through April 5, 2024.
HOW: Please follow the instructions below:
- All cum folders from June 2019 and earlier of students that no longer attend your school should be pulled and prepared for destruction.
- Remember it is SFUSD practice that Cum folders are kept at the last school of attendance for five years unless the cum folder was requested by another school.
- All cum folders for non-enrolled students that have not been forwarded to another school and FIVE (5) or more years have lapsed (leave dates of June 2019 and earlier) must be checked to ensure that no SPED folder (Special Education Folder)have been accidentally commingled.
- If you find a special education folder, place it in a large envelope labeled “outdated Special education folder” send to the Special Education Records room at “135 Van Ness Ave, Room 124”. Please note that only students that are 25 years or older folders are considered outdated special education records.
- Place cum folders in packages or boxes. Label the box by writing the name of your school and the words “Outdated Records - For Destruction.”
- Submit a Google Form for the pick-up address by February 29, 2024.
Please ensure that all of your school office personnel know the pickup. Please do not send the warehouse staff away, as they will only pick up records between March 4, 2024, and April 5, 2024.
Note: If you fail to meet the above dates, please DO NOT send cum folder to the Pupil Services or Warehouse for storage. Keep them at your school site until the next scheduled pick-up.
