As of June 21, 2023, certificated employees have their contractual work hours pre-populated on their timesheets for the days they are scheduled to work. This shift to an exception-based pay system marks an important milestone in our ongoing efforts to improve our EMPowerSF processes to ensure that staff are paid accurately, as well as better align with best practices in other school districts.
What is exception-based timekeeping?
In an exception-based pay system, the system assumes that all scheduled hours were worked unless indicated otherwise (i.e. the exception to the rule). For example, employees will indicate if they have an absence, are taking time off, or worked additional hours beyond their scheduled time on their timesheets. This is different from the previous system, which required employees to record both work and absence hours in order to receive accurate pay.
What will change for certificated staff?
If a certificated employee is present and working on a day that they are scheduled to work, they no longer have to select the paycode Work and type 7.00 hours (for a 1.0 FTE) in the timesheet. Instructions for how to enter time as a certificated employee have been updated here. If you belong to any of the following job classifications, you will see auto-populated work hours in your timesheet when you log in to EMPowerSF Time & Attendance:

If you work less than 1.0 FTE, your schedule in Time & Attendance will need to be accurate for the 2023-24 school year. Additional guidance is found here, and will be sent to you and your manager/supervisor in a separate email.
What will NOT change?
- Certificated staff still have to submit time off requests for any absence or intended use of the 18 Continuing Education/PD hours.
- Certificated staff still need prior approval to work and get paid extended hours or overtime.
- Certificated staff still need to submit the timesheet for approval by the end of the pay period.
- Supervisors still need to approve time off requests and timesheets by the time employees submit them at the end of each pay period.
